Executive Assistant / Administrative Coordinator
This is an IN OFFICE position and qualified candidates must be able to report to the Columbus, NC office daily.
We are hiring a full-time in office Assistant to support daily office operations, communication, and coordination for both the business owner and the team. This role is 50% personal assistant to the owner and 50 % administrative office support.

Key Responsibilities:
- Act as an extension of Greg, supporting his daily work, priorities, and needs
- Serve as a buffer and provide operational support to minimize distractions and interruptions
- Optimize the Business Owner's time and focus by reducing administrative friction and providing proactive, relevant information
- Manage the Business Owner's inbox and calendar, prioritizing critical communications, preventing conflicts, and ensuring clarity of commitments
- Anticipate needs and prepare all required documents, context, and briefings in advance of meetings, site visits, and discovery calls
- Draft emails, messages, and documents on behalf of leadership to maintain communication quality and reduce administrative load
- Establish, manage, and improve processes to increase efficiency, consistency, and scalability
- Maintain smooth, professional day-to-day operations across the organization
- Serve as the primary point of contact for incoming inquiries via phone, email, and in-person interactions, providing a polished first impression
- Prepare and maintain accurate documents, templates, forms, and operational checklists
- Collaborate on the creation and maintenance of organized digital filing systems and uphold documentation standards
- Prepare pre-call and pre-meeting materials using established checklists and internal guidelines
- Draft clear, concise internal and external communications aligned with company standards
- Support basic office operations, including mail, supplies, cleanliness, and overall functionality
- Establish and manage designated social media channels and assist with online updates as assigned
- Track action items from meetings and ensure follow-through, reminders, and closure
- Maintain strict confidentiality when handling sensitive operational, financial, and personal information, including business and personal financials, personnel matters, training materials, and personal events
Qualifications:
- Experience in office administration or administrative support
- Strong written and verbal communication skills
- Ability to manage multiple priorities with accuracy
- Proficiency in Google Workspace or Microsoft Office
- Strong organizational skills and comfort with process-driven work
- Experience in construction, trades, or field-service environments strongly preferred
- Ability to create templates, checklists, or process improvements
Compensation:
- $75,000 - $100,000 based on experience
- Full-time
